Data & Evidence Policy

How evidence you upload is identified, described, retained, and exported.

Last updated October 2026.

Original evidence

The file you upload is treated as the original source item. It is stored as received and is never silently edited, re-encoded, or replaced. Each item receives an Evidence ID so it can be referenced consistently in analyses and exports.

Derived artifacts

Anything produced from an original — extracted text, OCR output, transcripts, clips, frames, summaries, and exports — is recorded separately as a derived artifact and labelled as such. Derived material is never presented as the original record.

Hashes and integrity

A SHA-256 hash is computed from the original bytes so later changes to the file can be detected. The hash, file name, type, size, and timestamps are stored with the item. A hash establishes that bytes are unchanged since upload; it does not by itself establish authenticity, chain of custody, or admissibility.

Transcripts and metadata

Transcripts state their provenance — verbatim machine transcription or an edited reading copy — and are linked to time ranges in the source media. Metadata is read from the file itself; fields that are absent are left absent rather than estimated or invented.

Retention, deletion, and exports

Evidence and workspace records are retained while your account is open. You can delete individual items and workspaces, export your data from Settings, and delete your account from Settings, which removes your private evidence and records. Exports are provided in portable formats (PDF, DOCX, CSV, JSON, and caption formats depending on the feature) so you can keep your own copies.
